Planning a gala dinner in Dubai: venues, running order and production
By Ankur Bagga, founder of Qrated Event
In 2025 we produced two gala nights for two Chinese brands, both for 200 guests. One was the grand launch of Plain Homeland, a luxury furniture house, at Delano Bluewaters. The other was the Connect China gala dinner for Xcite MENA at W Dubai The Palm. Same guest count. Completely different nights.
That's the first thing to understand about a gala dinner in Dubai. Everyone knows the format: a room, a stage, a dinner and some awards. None of it comes off the shelf.
Quick answer: A gala dinner in Dubai comes down to four decisions, made in this order: the venue (hotel ballroom, beach deck or desert), a running order that keeps speeches short and spreads the awards across the meal, a production plan for AV, decor and entertainment, and one team running the night. For 200 guests, start one to three months out, and book the venue first, because its rules shape everything else.
Gala dinners and award ceremonies we've run
Plain Homeland grand launch, Delano Bluewaters, 2025. 200 guests. This was a turnkey brief: event planning and management, decor, entertainment and audio visual, all under one team and one contract. The ballroom carried the launch. Then we took the VIP guests through to the hotel's private garden behind it, facing the skyline, for an after party with a live jazz trio.
Connect China gala dinner for Xcite MENA, W Dubai The Palm, 2025. 200 guests. We delivered the AV, decor and entertainment, and ran the planning and management on the night. The theme was DREAM, and the W made it easy: the space let us turn the whole venue around to match it.
A staff recognition roadshow for a Healthcare Company group. Five events across six sessions, each built around bringing people on stage to be recognised. 100 guests per session in 2026, in the regional offices.
The roadshow taught me the most. Run the same awards format six times and you learn exactly where an evening sags, and how to fix it. An awards gala dinner in Dubai lives or dies on pacing, and pacing is a production problem, not a catering one.
Step 1: Choose your gala dinner venue (and read its rules first)
Most gala dinner venues in Dubai fall into three groups. Here's how I weigh them.
|
Venue type |
Works best for |
What to check before you sign |
|
Hotel ballroom |
Large guest counts, any month, heavy AV |
Load-in window, whether in-house AV is mandatory, ceiling height for rigging, finish time |
|
Beach deck or terrace |
Dinner under the stars, roughly October to April |
Wind, sound limits, the weather backup, how far plates travel from the kitchen |
|
Desert |
A brand moment guests talk about for years |
Guest transport, power (everything runs on generators), build days, back of house |
Our two 2025 galas show why the room alone shouldn't decide it. Delano Bluewaters won because of what sat behind the ballroom: a private garden facing the skyline, which gave us a second act for the VIPs. W The Palm won because it bent to the theme rather than fighting it.
I don't keep a list of venues to avoid. Dubai's hotels are built to host almost anything. The real question is which one fits your brief, your numbers and your running order.
A Qrated Event desert setup at dusk. In the desert, every light, cushion and cable comes in with us.
If you're deciding between the desert or a hotel ballroom, I've covered that properly in a separate piece. The short version: the desert asks more of your logistics and gives more back on the night. We've run 120+ desert events, at venues such as Bab Al Shams and Al Maha, so we know where the hidden costs sit.
Five questions to ask any venue before a gala
-
What time can load-in start, and when do we have to be out?
-
Is the in-house AV supplier mandatory, and is there a fee if we bring our own?
-
What's the hard stop for amplified music?
-
What's the real seated capacity once a stage and dance floor are in the room? (The brochure number assumes neither.)
-
Can we rig from the ceiling, and what's the weight limit?
Step 2: Build a running order that holds the room
The guests at a corporate gala dinner aren't there for the speeches. They'll sit through them happily if they're short and the night keeps moving.
Here's where most galas lose the room: speech after speech, presentation after presentation, with no break for entertainment to bring people back together. By the third speaker, half the tables are on their phones and the other half are talking over the stage. It's never the room's fault. It's the running order.
The rules I build every running order around:
-
Cap the speeches, in writing. Agree three to five minutes per speaker before the night, not on it.
-
Split the awards into blocks. Two or three short blocks between courses beat one long ceremony after dessert.
-
Never run two talking segments back to back. Put a performance between them, even a short one. It resets the room.
-
Put the feature act where the energy dips. It's usually after the main course.
-
Save the headline award for last, then go straight to the dance floor.
-
Have one show caller. One person calls every cue: lights, walk-up music, video, presenter.
Here's what a 200-guest awards night can look like:
|
Time |
What happens |
|
18:30 |
Arrival, welcome drinks, photo moment |
|
19:30 |
Guests seated, opening video, host welcome |
|
19:40 |
Welcome speech (3 to 5 minutes) |
|
19:50 |
Starter served |
|
20:15 |
Awards block one |
|
20:35 |
Short entertainment set to bring the room back |
|
20:50 |
Main course served |
|
21:30 |
Awards block two |
|
21:50 |
Feature entertainment |
|
22:10 |
Dessert, then the headline award |
|
22:30 |
Closing toast, dance floor opens (or a VIP after party, as we did at Delano) |
|
23:30 |
Last song |
Step 3: Know what gala dinner production in Dubai actually covers
On both of our 2025 galas, the scope broke into four parts.
Audio visual. Stage, LED screen, sound, lighting, microphones, walk-up music, award videos, and the technical crew who run them.
Decor. Entrance, stage set, tablescapes, centrepieces and linen. The room should look finished from the first guest's point of view, not just in the photographer's wide shot.
Entertainment. An arrival act, a feature performance in the middle of the night, then a band or DJ to close.
Planning and management. Venue liaison, supplier contracts, the running order, the technical rehearsal and show calling on the night.
You can hire all four separately. Plain Homeland chose a turnkey team instead: one contract, one point of contact, and nobody pointing at another supplier when a cue is missed. For most companies without an in-house events team, that's the simpler route.
Insist on a full technical rehearsal before doors open, with every presenter walking the stage at least once. It's the cheapest insurance you'll buy.
The detail nobody asks about
It's never one thing. It's the four lines that don't look like the event:
-
Permits for entertainers. Every performer on your stage needs the right permit in place before the night. Leave it late and you lose the act.
-
Feeding the crew. Staff, labour and entertainers are on site for very long days. Someone has to plan, budget and serve their meals.
-
Labour. An elaborate build needs hands, and those hands are a line on the budget.
-
Extra venue hours. If the setup is elaborate, the venue will charge for the extra hours we need to build it.
None of these show up in the photos. All of them show up on the invoice if nobody planned for them.
Step 4: Budget for the whole night, not the dinner
Gala dinners with us start from AED 350 per head, plus 5% VAT. Here's what we actually see in Dubai:
|
Guests |
Typical range (before VAT) |
Roughly per head |
|
100 |
AED 60,000 to 100,000 |
AED 600 to 1,000 |
|
200 |
AED 150,000 to 250,000 |
AED 750 to 1,250 |
Where you land in that range comes down to five things: the venue, the AV, the entertainment, the food and beverage, and the decor. A ballroom package with in-house catering sits lower. A themed build, a feature act and a full LED stage push you to the top.
Two things to plan for on any quote from us: 5% VAT is added on top, and we take a 50% deposit on confirmation, with the balance due before the event. I've written more on deposits and contracts in the UAE, and a wider breakdown of what a luxury event costs in Dubai.
Step 5: Work back from the date
Good gala dinner planning in Dubai works backwards from the night. Three months out is ideal. One month is the latest I'd want to start.
|
When |
What to lock in |
|
3 months out |
Date, guest count, budget, venue |
|
2 months out |
Production plan, entertainment, award categories |
|
1 month out |
Running order, scripts, award videos, seating plan |
|
1 week out |
Final numbers, presenter briefings, cue sheet |
|
On the day |
Build, technical rehearsal, doors |
Starting with only a month to go? Then the first three rows happen in the same fortnight. It can be done, but you'll have fewer venues and acts to choose from.
If your gala is also your year-end party, move faster. December dates at the big hotels go early.
How to choose a gala dinner organizer in Dubai
There are plenty of gala dinner organizers in the UAE. Before you shortlist one, ask:
-
Have you run this format, at this guest count, in the last year? Can I see the running order?
-
Who will be on site on the night, and who calls the show?
-
Is the AV your own crew, or subcontracted?
-
What exactly is included, and what's charged on top?
We plan gala dinners alongside the rest of our corporate events in Dubai, so the same team that books the venue is standing at the back of the room calling the cues on the night.
Frequently asked questions
How far in advance should we plan a gala dinner in Dubai?
Start anywhere from three months to one month before the date. Three months gives you the best choice of venues and acts. One month is the minimum. Allow longer for December, or for any date in a peak conference week.
What's the best venue for a Dubai awards gala dinner?
It depends on your guest count, the month and how much AV you need. Hotel ballrooms are the safest choice for large numbers and heavy AV. Beach decks work from roughly October to April. The desert gives the biggest impact, with the most logistics behind it.
How long should speeches be at an awards gala dinner?
Three to five minutes per speaker, agreed in writing beforehand. Split the awards into short blocks between courses rather than holding one long ceremony.
Do we need a separate AV company?
Not if your organiser handles AV. Check one thing with the venue first, though: whether its in-house AV supplier is mandatory, and whether there's a fee if you bring your own.
How much does a gala dinner in Dubai cost?
Gala dinners start from AED 350 per head, with 5% VAT added on top. For 100 guests, most land between AED 60,000 and 100,000. For 200 guests, AED 150,000 to 250,000. It depends on the venue, AV, entertainment, food and beverage, and decor. We take a 50% deposit on confirmation, with the balance before the event.
Can you hold a gala dinner in the desert?
Yes. We've planned 120+ desert events across the UAE. A desert gala needs guest transport, generator power, a full build and proper back of house, so start earlier than you would for a hotel.
